Running TaxCycle with a Dispersed Team: Hosted Cloud Servers vs. On-Premise IT

Running TaxCycle with a Dispersed Team: Hosted Cloud Servers vs. On-Premise IT

If your accounting firm is spread across a few home offices in Calgary, Vancouver, or across Canada and doesn't have a dedicated server room, you have likely run into this problem: TaxCycle's Client Manager wants one central place to store client files. No physical office server means no obvious place to put that central database.

A lot of accounting firms end up pointing Client Manager at a SharePoint or OneDrive synced folder on every workstation instead. It works — most of the time. The problem is that TaxCycle does not use traditional cloud file-locking mechanisms. Regular software knows when someone else has a file open and stops you from stepping on their changes. TaxCycle does not check that the same way. When two staff members work in the same client file at once, you end up with sync conflicts, duplicate files, or quietly overwritten tax returns that you only discover in the middle of tax season.

"TaxCycle requires a single, live file location to run Client Manager without file corruption. You don't need a $10,000 physical server in a closet to do that — you just need a properly configured, hosted cloud server with a secure VPN tunnel."

You Don't Need a Traditional Server (But You Do Need a Central Server)

TaxCycle requires a single, central location to run Client Manager without file corruption. There is no getting around that architecture requirement. However, what you do not need is a $10,000 physical server sitting in an office closet, expensive server OS licensing, or a technician on-site every month to keep hardware running.

The Modern Cloud Setup

Here is the setup we build for distributed accounting teams: a lean, hosted Windows 11 cloud server with a reliable provider like Kamatera, secured with an always-on mesh VPN like NetBird or Tailscale.

Direct Mesh Connections

Whether your team is working from home in Calgary, Edmonton, or Vancouver, everyone connects directly to that single, secure cloud box.

Single File Truth

TaxCycle runs against one live file location — the exact way it was designed to operate.

Zero Sync Conflicts

Nobody is syncing local copies back and forth, eliminating duplicate returns and lost work.

Predictable OpEx

You get full file-locking stability as a predictable monthly operating expense rather than a massive upfront capital investment.

Why Windows 11 and Not a Traditional Server OS?

If you have talked to an IT provider about this before, you have probably heard "you need to pay for a full Windows Server operating system." Sometimes that is true, but it is worth being transparent about when it actually applies.

1. Connection Limits

Windows 11 caps out at 20 concurrent network connections. If you are a 5-to-10-person firm and that cloud machine is strictly used as the central host for TaxCycle, you will not hit that ceiling. If you have a larger team or the machine is doing double duty for heavy file sharing, stepping up to Windows Server makes sense.

2. Update Management

Windows Server is slightly more conservative with patching schedules. However, if your IT provider actively manages your patch schedule and reboots for you, Windows 11 holds up exceptionally well. We set up managed maintenance windows so updates happen on a schedule instead of interrupting a deadline during tax season.

What Does That Actually Cost?

Kamatera bills in USD (even though they operate datacenters in Toronto), so keeping exchange rates in mind is important:

Estimated Monthly Investment: 6-Person Firm Example

Infrastructure Item Sizing / Spec Estimated Cost (USD)
Hosted Windows VPS Sized for 5–10 staff ~$60 – $90 / month
Mesh VPN (NetBird/Tailscale) Per active user seat ~$5 / user / month
Total Monthly Investment 6-person firm example ~$90 – $120 / month

Compare that to the upfront capital expense of buying physical server hardware, Windows Server licensing, and paying for manual on-site maintenance. The math favors a hosted cloud box very quickly.

Note: If you are on a Huntertech managed IT plan with 4 or more seats, we manage this hosted cloud environment as part of your standard plan without extra project fees.

Frequently Asked Questions

Isn't running TaxCycle over a VPN really slow?
It can be if you are using traditional VPNs that route all network traffic through a slow bottleneck. We use modern mesh VPNs (like NetBird or Tailscale) that establish direct, encrypted connections between staff laptops and the hosted server. Because the connection is direct and hosted in a high-speed Canadian datacenter, Client Manager file indexing stays snappy.
How does this keep us compliant with Canadian data privacy laws (PIPEDA)?
Canadian privacy standards require sensitive financial and personal tax data to reside within Canada. By provisioning your cloud server in a Canadian datacenter (such as Kamatera's Toronto facility), your client files never cross international borders, satisfying PIPEDA requirements.
What happens if our Internet goes down at home?
Since TaxCycle runs against a hosted cloud environment rather than a physical box in an office, an Internet outage at one person's home only affects that individual. They can tether to a mobile hotspot to keep working while the central database remains accessible to the rest of the firm.
Do we still need to back up the hosted machine?
Yes. Hosting a server in the cloud protects you from hardware failure, but not from accidental file deletion or corrupted data. We configure automated daily cloud backups with point-in-time restores attached to the server so you can roll back if a file is ever corrupted or overwritten.
Why not just use TaxCycle in a full Remote Desktop / Citrix environment?
Remote Desktop works well, but it comes with heavy licensing overhead (Windows Server OS, RDS CALs) and requires higher server specs to run multiple virtual desktops. For a 5-to-10-person firm, running TaxCycle locally on each computer while centralizing only the Client Manager database gives you the same reliability at a fraction of the cost.
